What goes in each room's basket, and what to buy this week.

The weekly flow, plus answers to common questions. New here? Start with the flow.
It pulls the months, weeks, and lesson files from the SW KIDS CURRICULUM Google Drive folder into the tool. The timestamp beside the button shows when it last ran and who ran it — if you know nothing has changed in Drive since then, you don't need to sync again.
Open a week, choose a room tab (Preschool / Lower Elem / Upper Elem), and click Score this room. The AI reads that room's lesson PDFs and rates every activity, with a plain-language description of what each one is. Re-score any time — it won't touch a locked room.
Ease — how easily any volunteer can run it cold (5 = grab-and-go). Connection — how tied it is to the lesson (5 = the activity is the lesson). Supply — the supply load (5 = nothing to buy, already on hand). The scores inform the verdict; they don't dictate it.
Keep = run it as written. Skip = don't run it (its page is removed from the print). Modify = run it with changes — write your own version of the page. The ⭐ marks your run-of-show pick; starring one activity does not drop the others.
Set the Class window — the minutes available for activities — once at the top of any room. It's a single shared value that applies to every room and both Sunday services (they all run about the same length). The Activity time panel adds up every activity you're running and compares it to that window. If you go over, you'll get a red “Too many activities” callout telling you how many minutes over you are and naming an activity to skip to fit — it'll point at a Modify first, since that's extra work to build and often the easiest to drop. Use it to decide whether a Modify is worth keeping or should just be skipped. Each activity's minutes update live as you change est. time, ×count, or rounds/stations.
It prints the whole booklet in order, minus the pages of activities you marked Skip. Lesson teaching, discussion, and prayer pages always print. A Modified activity's page replaces the original; a brand-new activity's page is added at the end.
Click ✎ Write page (or Edit page) on the activity. For a curriculum activity it prefills from the booklet into labeled boxes — Purpose, How it works, Instructions, Wrap-up, Leader Tips, and Materials. Edit them, then Publish to include your version in the print. ↻ Reset to booklet reloads the original if you want to start over. Drafts aren't printed until you publish.
On a scored room click + Add activity, give it a name and a block, then Write page to author it in the same boxes. Publish it to splice it into the print.
Yes. In the page editor, use ✨ Draft with AI at the top — describe the activity in a sentence (e.g. "a relay where kids carry faith words to a basket") and click Draft. Claude writes the Purpose, How it works, Instructions, Wrap-up, Leader Tips, and Materials from your description and this week's lesson, age-appropriate for the room. It's a starting point: review and edit every box, then Save or Publish. Works for brand-new activities and for reworking a Modify.
On a scored room, 📚 From template opens a small library of reusable activities (Bible Reading, Hot Seat, Word Builder, Four Corners, plus any you've saved). Pick one and it drops into the room with the page boxes already filled in for this week's lesson — edit anything still in {{double braces}} (like the word list), then Publish. To build the library, author any activity and click ★ Save as template in the page editor.
The 🧺 Materials button on a scored room opens two tabs. Basket (this room) = what to pack into that room's basket this week. Order list (week) = the whole week's supplies across rooms. Walk the rooms and mark each one ✓ Have it or 🛒 Need to order; the things you flag rise to the top as the shopping list. When you order something, type where from and hit Mark ordered — next time that supply comes up it'll remember the store so re-ordering is quick. Print the checklist any time.
The 🗓 Worklist button (top of the board) shows everything that needs doing right now, pulled from each week's deadlines: Content locked 4 weeks out, Supplies ordered 3 weeks, Package assembled 2 weeks, and Bucket built 1 week before its Sunday. Do now lists what's overdue or due this week (reddest first); Get ahead shows what's coming so you can work ahead when you're caught up. Tick Only my weeks to see just the weeks you own. “Open →” jumps to that week. A bucket = its supplies + the printed lesson + the room's leader sheet.
Yes. In the Worklist, click ⚙ Deadlines and set how many weeks before each Sunday each step is due. The board chips and the worklist update to your timing. A step shows green automatically when it's actually done (all rooms locked, or every supply sorted), so you don't have to tick it by hand.
Permanent classroom fixtures — Bibles, teaching slides, videos, the whiteboard, the timer — are hidden, since they're always in the room and never packed or bought. A footnote at the bottom of each list shows exactly what was hidden.
Locking marks a room as settled and prevents accidental edits or re-scoring. Click Unlock to make changes again.
